We are looking for a reliable, organised, and detail-oriented Procurement/Account Assistant to join our team in Tamale. This role is ideal for a proactive professional who can support both procurement and accounting activities, maintain accurate records, coordinate with suppliers, and help ensure that the school’s resources are managed efficiently and responsibly. About the Role As the Procurement/Account Assistant, you will support the day-to-day procurement, purchasing, financial administration, and record-keeping activities of the school. You will work closely with the finance, administration, academic, facilities, and management teams, as well as suppliers and service providers, to ensure that the school obtains the goods and services it needs at the right quality, time, and cost. You will also support accurate financial records, payment documentation, reconciliations, and budget monitoring. Key Responsibilities Procurement Support the procurement of school supplies, teaching materials, office equipment, maintenance items, food supplies, and other required goods and services. Receive and review purchase requisitions from authorised departments. Obtain and compare quotations from approved suppliers. Prepare purchase orders and procurement documentation as required. Maintain an organised supplier database and procurement records. Communicate with suppliers regarding prices, availability, delivery schedules, and product specifications. Follow up on outstanding orders and ensure timely delivery of goods and services. Inspect deliveries and confirm that quantities and specifications match approved orders. Report damaged, incorrect, or incomplete deliveries promptly. Support supplier evaluation and performance monitoring. Maintain proper documentation for all purchases. Assist in identifying cost-saving opportunities without compromising quality. Ensure procurement activities follow the school’s policies and approval procedures. Accounting & Finance Support Record invoices, receipts, purchases, payments, and other financial transactions accurately. Assist with accounts payable and supplier payment documentation. Verify invoices against purchase orders, delivery notes, and approved requisitions. Support bank, supplier, and other routine reconciliations. Maintain accurate financial and procurement records. Assist with monitoring departmental and operational expenditure against approved budgets. Prepare basic financial summaries and expenditure reports. Support month-end and year-end accounting activities. Maintain proper documentation for internal and external audits. Follow up on outstanding financial documents and approvals. Support accurate cash and payment records where required. Assist the finance team with data entry, filing, reporting, and other accounting activities. Administration & Reporting Prepare clear procurement and financial reports for management. Maintain organised electronic and physical records. Track procurement requests, purchase orders, deliveries, invoices, and payments. Use Excel and other relevant systems to maintain accurate procurement and financial data. Identify discrepancies and escalate them promptly. Work closely with school departments to understand their procurement needs. Support management with accurate information for purchasing and financial decisions. Identify opportunities to improve procurement and accounting processes. Challenge inefficient ways of working and recommend practical improvements. Maintain confidentiality when handling financial, supplier, student, staff, and school information. Qualifications & Experience Diploma or Bachelor’s degree in Accounting, Finance, Procurement, Supply Chain Management, Business Administration, or a related discipline. Professional qualification or relevant certification in accounting or procurement will be an advantage. 1–3 years of relevant experience in procurement, accounting, finance administration, purchasing, or a similar role. Experience working in a school, educational institution, NGO, corporate organisation, or other structured environment will be an advantage. Experience handling supplier quotations, purchase orders, invoices, and payment documentation. Basic understanding of accounting principles, procurement procedures, budgeting, and financial controls. Strong proficiency in Microsoft Excel and other Microsoft Office applications. Experience using accounting, procurement, or enterprise-management software will be an advantage.
