We are seeking a responsible, detail-oriented, and patient-focused Dispensing Assistant to support the efficient operation of our pharmacy and contribute to excellent patient care. Role Overview The Dispensing Assistant will support pharmacy operations by receiving and processing prescriptions, preparing medicines for dispensing under appropriate supervision, assisting patients, maintaining accurate records, and supporting stock management. The successful candidate will work closely with pharmacists and other healthcare professionals to ensure that medicines are handled, prepared, stored, and issued safely and efficiently. Key Responsibilities Receive prescriptions and medication requests and direct them appropriately for professional review. Assist with the preparation and dispensing of medicines under the supervision of the responsible pharmacist or authorised pharmacy professional. Select the correct medicines, strengths, dosage forms, and quantities based on approved prescriptions and instructions. Check product names, quantities, packaging, and expiry dates carefully before handing medicines over for final verification. Label medicines accurately according to approved pharmacy procedures. Provide patients with clear, courteous, and appropriate information as directed by the supervising pharmacist. Refer clinical, medication-related, or complex patient enquiries to the pharmacist or appropriate healthcare professional. Maintain patient confidentiality and protect sensitive medical and prescription information. Process prescriptions and maintain accurate dispensing and pharmacy records. Assist with electronic and manual pharmacy record-keeping systems. Support the receipt, inspection, storage, and organisation of medicines and other pharmaceutical products. Arrange medicines systematically to facilitate accurate identification and efficient retrieval. Monitor stock levels and notify the responsible pharmacy staff when products require replenishment. Assist with routine stock counts and inventory checks. Identify and report expired, damaged, missing, or compromised medicines and products. Support appropriate handling and segregation of expired or damaged pharmaceutical products in line with hospital procedures. Maintain clean, organised, and hygienic dispensing and pharmacy areas. Follow established procedures for medicine storage, including applicable temperature and environmental requirements. Support the preparation of pharmacy orders and replenishment requests. Assist with receiving deliveries and verifying products against relevant documentation. Maintain accurate records of stock received, issued, transferred, or returned. Support efficient service during busy periods while maintaining accuracy and patient safety. Work closely with pharmacists, nurses, doctors, and other healthcare professionals where required. Follow hospital pharmacy policies, medication-safety procedures, infection-prevention standards, and professional guidelines. Report dispensing errors, discrepancies, medication incidents, or other concerns immediately to the appropriate supervisor. Participate in pharmacy quality-improvement activities and relevant training. Maintain knowledge of commonly used medicines and pharmacy procedures within the scope of the role. Perform other appropriate pharmacy-support duties assigned by the supervising pharmacist or hospital management. Educational & Professional Requirements A recognised certificate, diploma, HND, or equivalent qualification in Pharmacy, Dispensing Technology, Pharmacy Technician Studies, or a related field, as applicable to the role. Relevant professional registration or certification required for the position in Ghana. Basic knowledge of medicines, dosage forms, prescription terminology, and pharmacy procedures. Previous experience in a hospital, community pharmacy, clinic, or healthcare environment will be an advantage. Good numerical and record-keeping skills. Basic computer literacy and ability to use pharmacy or electronic record systems. Strong attention to detail and accuracy. Good communication and interpersonal skills. Ability to maintain patient confidentiality. Ability to work effectively under supervision and as part of a multidisciplinary healthcare team.
